When an event photobooth package says “unlimited printing”, what exactly does that mean?

Can guests return to the booth multiple times? Can everyone in a group receive their own copy? Are digital photographs included? And what happens if the event runs longer than expected?

These are practical questions that corporate event organisers, agencies and event planners should clarify before confirming a photobooth supplier.

What Does Unlimited Photobooth Printing Mean?

For our applicable photobooth packages, unlimited printing means there is no fixed limit on the number of photographs or prints produced during the confirmed photobooth operating hours.

If your photobooth is booked to operate for three hours, for example, guests can continue using the booth throughout those three hours without the organiser having to keep track of a fixed number of photo sessions or prints.

Guests can also return to the booth multiple times.

This works particularly well for corporate dinners, annual celebrations, brand activations, product launches, conferences, employee engagement events, award ceremonies and weddings.

Rather than restricting participation to one photograph per guest, the photobooth becomes an experience guests can revisit throughout the event.

The actual number of sessions completed will naturally depend on factors such as guest volume, group size, queue flow and the confirmed operating period.

Can Every Guest in a Group Receive a Copy?

Yes.

For our applicable packages, multiple copies of the same photograph can be provided for the guests appearing in that photograph.

For example, if three guests take a photograph together, we can print three copies so that each person receives one.

This becomes especially useful at larger corporate events, where guests generally do not want to decide who gets to keep the only print from a group photograph.

Allowing each guest to leave with their own copy creates a smoother and more complete guest experience.

Can Guests Take More Than One Photo?

Yes.

Guests are not restricted to a single photobooth session.

They may take one photograph with colleagues at the beginning of the evening, return later with another department, and come back again with friends before the event finishes.

As long as the photobooth remains within its confirmed operating period, guests can continue participating.

This is also why the duration of the photobooth service can be more important than simply looking at whether a package says “unlimited”.

A two-hour unlimited package and a four-hour unlimited package may provide very different guest experiences depending on attendance and event flow.

Are Digital Copies Included Too?

Yes.

Guests can receive digital copies of their photographs, allowing them to save the image to their mobile devices and share it online.

After the event, the organiser will also receive access to the full event photo collection through the QK Workspace Client Gallery.

This gives the organising team a central location to review and access the photographs captured during the event.

For corporate events, having both physical and digital outputs can be especially useful.

The printed photograph becomes an immediate event keepsake, while the digital version gives guests an easy format to save and share.

Can the Photobooth Prints Be Customised With Our Branding?

Yes.

For corporate events and brand activations, the print layout can incorporate approved branding elements such as:

Will We See the Photobooth Design Before the Event?

Yes.

Our team prepares a design mock-up for approval before the event, allowing the client or agency to review the layout and branding elements in advance.

This is particularly important for corporate events involving brand guidelines, campaign requirements and multiple stakeholder approvals.

Finalising the design beforehand also allows the event-day team to focus on operations and guest experience rather than last-minute artwork changes.

Where possible, clients should provide final approved brand assets early and in suitable high-resolution or vector formats.

What Happens If the Event Runs Overtime?

Events do not always finish exactly according to schedule.

Dinner service may run late, speeches may take longer than expected, or guests may still be actively using the booth near the scheduled closing time.

The photobooth operates according to the service hours confirmed in the quotation.

If the client requests the booth to continue operating beyond those hours, overtime charges will apply.

For the package covered here, the overtime rate is currently RM200 per hour.

Where possible, an extension should be communicated to the on-site team before the scheduled end of the photobooth session so that operations can be coordinated properly.

Rates and conditions may differ for specialised photobooth experiences, locations or event requirements, so the confirmed quotation should always be used as the final reference.

What Should You Confirm Before Booking a Photobooth?

Before confirming a supplier, event organisers should understand more than just whether “unlimited printing” is included.

You should also confirm the operating duration, whether everyone in a group can receive a copy, how digital photos are delivered, whether customised branding is included, whether artwork approval is provided before the event, and what happens if the event runs beyond the confirmed service hours.

These details make it easier to compare photobooth proposals based on the actual guest experience rather than price alone.
